Mailroom

All College of Veterinary Medicine Mail, which includes: United States Postal Service, Inter College and University Campus is distributed through the Mailroom (C1052, VMC).

Departments are responsible for forwarding mail to personnel no longer at the College, and for informing the mailroom (by using the provided form or through e-mail) of new arrivals and/or changes in mailbox assignments. Departments are also responsible for making changes to vendor mailing lists; throwing the mail away without notifying the sender does not prevent future mailings.

First class mail is the only mail the United States Postal Service will allow to be "Return To Sender". If you have other mail, like bulk, that you no longer want to receive you need to cut out the mailing label from your piece of mail and mail it back to the sender requesting to be removed from their mailing list. If you are on a "junk mail" mailing list, you need to write to the following address to request removal from their mailing list:

When addressing campus envelopes, please provide the full name of recipient, the department, the box number, and the full name of the sender. Also, if you have several envelopes that are going into one specific mailbox, please band them together if possible.

Personal mail should not come to the College Mailroom. This includes magazines. We understand that when someone has just moved to the area it is easier, in some cases, to receive their mail here until their housing is worked out. On a temporary basis only, with a pre-determined time frame, we will continue to provide mail-sorting services to meet this need.

Campus mail for the Veterinary College goes in the wall slot to the right of the mailboxes. All other campus mail goes into the white mail bucket to the right of the door when entering the mailroom.

Styrofoam boxes for recycling must be put in the mailbags or else the United States Postal Service will not take them.

Shipping & Receiving

Shipping a package from the Veterinary College.
" All 3 major carriers, USPS, UPS and Fed Ex pick up from the Veterinary College daily. UPS shipping is done through their CampusShip web site. You have to be authorized by your department Campus Ship Administrator to use CampusShip. Fed Ex shipping can be done on their web site, http://www.fedex.com/, or by using the Fed Ex forms available from your department. You'll need the department account number or credit card. DHL will pick up if you call ahead for pick up.
" Personal packages may be shipped from the Veterinary College using the UPS, http://www.ups.com/ , or Fed Ex, http://www.fedex.com/ , web sites and a personal credit card.
" UPS picks up at 5:00pm daily. Fed Ex picks up at 3:30pm inside and the outside drop at 5:00pm. Packages can be placed on the labeled carts outside of Shipping and Receiving (C1049 VMC).
" Shipping of Hazardous Materials or Dangerous Goods. Many substances commonly shipped at the Veterinary College, such as:
   o dry ice
   o infectious substances
   o samples preserved in formalin
are defined as Hazardous Materials by US law and are tightly regulated. To ship these or other Hazardous Materials, several regulatory requirements must be met; failure to follow the regulations can result in significant fines. See the Cornell EH&S HazMat Shipping Page for more information.

Receiving packages and shipments at the Veterinary College.
" The Veterinary College receives packages and shipments from all carriers daily. UPS, Fed Ex, DHL and USPS deliver in the morning. Common carrier shipments arrive through out the day. All packages are scanned in, sorted and placed on designated shelves for pick up. After all morning packages are received, the scanner is downloaded and an email sent to the receiver or their designated representative. Packages may be picked up after the email is received. Packages will be scanned and signed for. When perishable packages are received, every effort will be made to notify the receiver by 3:00pm. If the package is not picked up by the end of the day we will document the notification and place the package in our refrigerator overnight.

Key and Cylinder Requests
All keys and cylinder change requests (with the exception of the Baker Institute) must be issued through a CVM Department Coordinator to the Facilities Office using the Key Request Form.

Locked Out Of A Room
Custodial staff will not provide access to locked spaces under any circumstances.

If you need access to a locked space between the hours of 7:30 and 4:30 Monday through Friday, please contact the facilities office at 3-3750, S1167, VEC or you can contact your departmental administrative office.

Below please see the procedures for after-hours access which are in accordance with University Policy 2.6, Keys and Other Access Control Devices. http://www.univco.cornell.edu/policy/kc.for.html

The Procedures:
1) When you request assistance from Cornell Police, the dispatcher will contact a member of the veterinary facilities office staff.
2) The facilities office staff will require you to answer some basic questions to ensure that you should have access to the room.
3) If the facilities office has approved, the dispatcher will do one of two things depending on how busy the dispatcher and/or patrol officer are.
A) The dispatcher will send a patrol officer to meet you at the room for entry.
B) If Cornell Police staff are busy, the dispatcher will call the after-hours shift mechanic to meet you at the room for entry. Please understand, if the shift mechanic is used, there will be a charge to your department of approximately $35.00.

The decision of whether the patrol officer or shift mechanic is sent is completely up to Cornell Police. Also, this process can, at times, be very time consuming. The facilities office strongly suggests that if you are planning to work after-hours you should make sure you have a key to the room/s you will need access to and you should carry both the key/s and your Cornell ID card with you at all times.

Card Access
The College of Veterinary Medicine currently secures the complex perimeter doors access from 5pm to 5am weekdays and "all-time" on weekends and holidays. Access is limited to those who have been authorized by Department Coordinators to have after hours access using their Cornell ID card or an issued temporary card. Please contact Kim Salino, 3-3760, kas19 if you experience problems with your card not working in a card reader.

If you would like after hours access please contact:
1. If you are a CVM student, contact Dave Frank, 3-3696, daf4
2. If you are a CVM faculty or staff member, contact your Department Coordinator (see list below).

4. If you are a non-CVM student working at the veterinary college, the sponsoring department should contact their department administrator.
5. If you are an instructor for an after hours class, please provide Kim Salino with a class list that includes first and last name, Cornell ID number for each student, as well as time and location of classes prior to class starting.

IMPORTANT: If you lose your Cornell ID card, PLEASE DO NOT use your new replacement card. You must contact Kim Salino for a temporary card which you will need to use for the foreseen future, unless you find your lost card. If someone finds your lost card it can still be used to gain access to the Veterinary College after hours. In the future, our system will be able to handle an extra number that is embedded in the barcode that tells which "issue" that card is but it won't at the moment.

Furniture Issues:
The Facilities Office coordinates the storage and distribution of used furniture that is available for CVM departmental use. We can also assist you with ordering additional or new furniture.
